What belongs in a clear summary of a disputed situation?
Start with the specific question, a short chronology, source references, material disagreements, and the next information needed. The purpose is to help another reader understand the record. A clear summary does not erase uncertainty or decide an issue simply by sounding persuasive.
A reusable one-page outline
- Purpose: State what the reader is being asked to understand.
- Scope: Identify the dates and documents covered.
- Chronology: List the key events with source IDs.
- Agreement and disagreement: Separate shared points from disputed ones.
- Open questions: List what the available information cannot answer.
- Source index: Tell the reader where to find each referenced item.
Example: a disagreement about a meeting
Fictional example. One person recalls a meeting beginning at 10 a.m.; a calendar invitation says 10:30. A follow-up email confirms the meeting happened but does not say when it began.
A careful summary says: “The invitation scheduled the meeting for 10:30. Alex recalls a 10 a.m. start. The follow-up email does not resolve the difference.” It does not say “Alex lied” or “The calendar proves the actual start time.”
The next question could be whether there is a contemporaneous check-in message. Even that message would need context: arriving at a location is not necessarily the same as starting the meeting.
Use language that preserves distinctions
- “The email states…” identifies a document’s contents.
- “I remember…” labels a recollection.
- “This may suggest…” labels an interpretation.
- “I have not verified…” preserves an important gap.
These phrases help a reader assess a statement on its actual basis. They also make later corrections easier because the source of each conclusion is visible.
Review the summary from another reader’s perspective
Can someone unfamiliar with the situation follow the sequence? Are names and document references consistent? Does the summary acknowledge information that points in a different direction? Remove unnecessary private details from copies intended for wider circulation.
Frequently asked questions
Should every document be reproduced in the summary?
Usually a short source index is easier to use than copying everything into the main narrative. Keep the underlying material available through appropriate channels.
Is this a legal filing template?
No. It is an organization and writing aid. Requirements for formal submissions depend on the particular process.
